Every row carries its client, its project and its task. So when it's time to invoice, you know where each hour came from instead of reconstructing it from memory.

The maths, done for you

In the Excel you type the start time, the end time and the break minutes: the hours work themselves out. At the bottom you get the month's total and, separately, the billable total.

On paper too

The PDF is A4 landscape, 24 lines, with room for the month and the person. If you'd rather jot it down by hand as you work, print it and you're set.

One honest note: this template is for tracking and billing your hours by project. It is not a legal attendance record: many countries require employee working-time records to be traceable and tamper-proof, and a spreadsheet is neither. Two different things, worth not confusing.

When it stops being enough

A spreadsheet gets you only so far

And that's fine — almost everyone starts there. These are the signs you've outgrown it.

You forget to fill it in

Filling the sheet at the end of the day means reconstructing hours from memory. And what gets reconstructed gets rounded down: you bill less than you worked.

There's more than one of you

One sheet per person, on each person's computer, and somebody merging them at month end. With three people it stings; with six it's half a morning gone.

The client asks

“Where did these hours go?” With a sheet you build the summary by hand. And you can't show how the budget is going while the project is still running.
